What gets done by hand today
- Filing delivery notes, supplier invoices, contracts and IDs in lever-arch files; finding one takes ten minutes.
- Writing the same letters: to the bank, to the council, to a supplier, to a parent, to a tenant.
- Remembering the PAYE date, the VAT date, the NSSA date, the QPD, the shop licence, the tax clearance renewal, the data controller licence renewal.
- Meeting notes in a book nobody reads again.
The four opportunities
| ID | Opportunity | How it works | Tool class | Effort | Impact |
|---|---|---|---|---|---|
| A1 | Scan, read and file documents automatically | Photograph a delivery note or ID; it is text-searchable and filed by date and supplier. | Phone scanner app + cloud drive + OCR | Low | Solid |
| A2 | Letters, emails and notices drafted by an AI assistant | Give the facts; get a clean first draft in the tone you set. You still read and sign. | ChatGPT, Gemini or Claude | Low | Solid |
| A3 | Compliance calendar with reminders | PAYE, VAT, NSSA, QPDs, licence renewals and tax clearance on one calendar with two reminders each. | Shared calendar | Low | High |
| A4 | Meeting notes turned into an action list | Paste rough notes; get owners, actions and dates. Send the list on WhatsApp. | AI assistant | Low | Modest |
Effort: Low = an afternoon with free tools; Medium = a week and a subscription; High = a project with outside help. Impact is relative to a typical 5–30-person business; run the ROI calculator with your own figures.
The compliance calendar, as a starting point
A3 is the highest-impact admin automation on the list because a missed ZIMRA date costs money and a lapsed tax clearance stops you being paid by formal customers. Below is a skeleton; confirm every date on ZIMRA's public notices and with your practitioner, because due dates for VAT categories differ and change.
| Obligation | Typical timing | Reminder | Where |
|---|---|---|---|
| PAYE remittance and return | By the 10th of the following month | 1st and 7th | TaRMS self-service portal |
| VAT return and payment | Monthly for the categories most SMEs fall in; ZIMRA notices in 2026 set specific dates per category | 15th and 20th | TaRMS |
| NSSA contributions (4.5% employer + 4.5% employee, on insurable earnings up to a US$700 ceiling) | Monthly, with PAYE cycle | 1st and 7th | NSSA portal |
| Quarterly payment dates (provisional income tax) | 25 March, 25 June, 25 September and 20 December (2026 calendar); confirm percentages with your practitioner | 30 days and 7 days before | TaRMS |
| Tax clearance certificate (ITF 263) | Annual; ZIMRA issues it only to operators compliant with fiscalisation/FDMS | 60 days before expiry | TaRMS |
| POTRAZ data controller licence | Valid 12 months; renewal application three months before expiry | 120 and 95 days before | POTRAZ |
| Municipal shop/trade licence, fire certificate, health permit | Annual; varies by council | 60 days before | Local authority |
Worked example (illustrative)
A transport company with eight trucks generates about 40 documents a week: delivery notes, fuel slips, toll receipts, weighbridge tickets. Photographing each into a scanner app that names the file by date and OCRs the text (A1) takes 30 seconds instead of the two minutes to file and the ten minutes to find later. Across 40 documents and 5 retrievals a week: roughly 2 hours a week back, and the accountant gets a folder, not a box.
- AI drafting works offline-first if you plan for it. Draft in batches when the connection is good; the average Zimbabwean household spends about US$10 a month on internet (MISA, Aug 2026) and business connections are not always better.
- Tax clearance depends on FDMS. ZIMRA has said it issues tax clearance certificates only to taxpayers compliant with fiscalisation, so the calendar entry for ITF 263 should link to the fiscalisation guide.
Do not automate
Signing. An AI assistant drafts the letter to the bank; you read every word before it goes, because it will be confident and occasionally wrong.
