Finance: fiscal invoices out, cash in, books closed by day five.

Finance is where Zimbabwe's rules bite hardest — FDMS, TaRMS, two currencies, NSSA — and where the right software removes the most retyping.

What gets done by hand today

  • Typing the accepted quote again as an invoice, then again into the fiscal device.
  • Chasing debtors from memory, usually the loud ones.
  • Matching EcoCash statements, bank statements and the cash book at month-end, in a spreadsheet, a month late.
  • Fuel and hardware receipts in a shoebox until the accountant asks.
  • Payroll in Excel with NSSA and PAYE worked out by hand.

Effort: Low = an afternoon with free tools; Medium = a week and a subscription; High = a project with outside help. Impact is relative to a typical 5–30-person business; run the ROI calculator with your own figures.

Worked example (illustrative)

A workshop issues 120 invoices a month and about 35% are paid late. The office manager spends 6 hours a week phoning and messaging debtors. A reminder sequence (F2) — statement on the 1st, a WhatsApp or email reminder at 7 and 14 days overdue, a phone call only at 30 — cuts the manual chasing to about 1.5 hours a week: 4.5 hours back. More importantly the calls now go only to the accounts that need a person. Track days-sales-outstanding before and after; that is the metric, not the hours.

Zimbabwe notes
  • VAT is 15.5% from 1 January 2026 (up from 15%), and the registration threshold is US$25,000 of taxable supplies in 12 months. Your invoicing software must handle both, and the ZiG equivalent.
  • Fiscalisation is not optional for VAT-registered operators. Every point of sale must use a fiscal device — hardware or a software "virtual fiscal device" — interfaced with ZIMRA's FDMS. Since 31 May 2025 fiscal invoices must transmit buyer details, and ZIMRA links tax clearance to FDMS compliance. The fiscalisation guide covers the choice and the cost (a hardware device up to about US$1,000 plus setup, versus software from about US$10 a month, per TechCabal's May 2025 reporting).
  • Two currencies, one ledger. Run the books in USD with ZiG as a foreign currency, or the other way round, but choose and state the rate source. The RBZ interbank rate was 26.66 ZiG/USD at end-August 2026.
  • NSSA is 4.5% from the employer and 4.5% from the employee on insurable earnings capped at US$700 a month, per 2026 payroll guides; confirm current figures with NSSA before configuring payroll.

Do not automate

The decision to write off a debt, the VAT treatment of an unusual transaction, or anything your practitioner should sign. Automate the data entry, the reminders and the reconciliation matching; keep the judgement.
